The WhatsApp Business API is the common name for Meta's WhatsApp Business Platform: the official way for a business to send and receive WhatsApp messages from its own software, through the Cloud API. Every customer message reaches your server by webhook, and your server replies by calling the API.
In practice
It is not the WhatsApp Business app. The app is a free download for small businesses that serve customers from a phone. The platform is for connecting WhatsApp to your software: a CRM, a booking calendar, a chatbot or an AI agent.
According to Meta's documentation, you need a business portfolio, a WhatsApp account (your number and display name), a Messaging account (templates and billing), an app and access permissions. When you start, Meta creates a test account and test number that do not need a payment method to send templates. The platform relies on webhooks: that is how incoming messages and delivered and read notices arrive.
Three rules shape any project:
- The 24-hour window. You can only reply with free text in the 24 hours after each customer message.
- Templates. Outside that window, only messages pre-approved by Meta.
- Consent. You need the customer's prior opt-in, with your business name made clear, before you send them templates.
Meta charges per delivered message. As of October 2026, for a Spanish number (+34), €0.0585 per marketing message and €0.0166 per utility, authentication or service message, with the first 1,000 service messages each month free per number (Meta pricing). Our WhatsApp Business API cost calculator shows the monthly bill for your volumes. Typical uses in a small business: appointment reminders, updates on an order or a repair request, and an assistant that answers common questions and passes the rest to a person.
Common mistakes
- Automating the normal app with browser extensions. Meta warns that using unauthorised third-party tools is prohibited.
- Registering a number that is still in use. A number on the API cannot be used at the same time on WhatsApp Messenger. To keep the app and the API on the same number there is coexistence, which a Meta partner switches on.
- Launching without a payment method. Meta delivers the 1,000 free service messages and stops delivering the rest.
- No route to a person. The WhatsApp Business Messaging Policy requires prompt, clear and direct escalation paths when you automate replies.
- Picking the wrong currency. It is set when you create the account and afterwards can only be changed through a migration.
